Resolution Reprographics
CFIB Archive Assessment Privacy Notice
Last updated: September 9, 2026
This notice applies specifically to the CFIB archive assessment and scanning quote inquiry workflow on this Site. Resolution Reprographics receives the initial inquiry. It does not describe every service or information-handling practice on the main Resolution website.
What you provide and why
The form collects your name, company, email, optional phone number, city, optional province or territory, CFIB membership response, approximate archive volume, document types, service preferences, optional shipment preferences and optional project details. We use this information to assess and quote work, respond, follow up appropriately, operate the form and measure the campaign.
The form does not accept document uploads. Please do not put confidential records, sensitive personal information or client records in free text. Detailed project materials require a separately agreed intake process. Selecting pickup or shipment preferences does not confirm pickup or authorize shipment.
Where inquiry information goes
Inquiry records are stored using managed ChatGPT Sites and Cloudflare D1 infrastructure. Authorized personnel administer inquiries as needed for their work.
Resend processes contact information and email content to send an internal notification to Resolution and an acknowledgement to you. The internal notification contains your submitted inquiry details. The acknowledgement contains a greeting, company, request type and reference number, plus receipt and next-step wording; it does not repeat the archive, shipment or project-detail answers.
Company email systems also hold delivered internal notifications. Relevant platform and service providers may process or store information outside Canada. Information is therefore processed by service providers as part of this workflow.
Campaign measurement and abuse prevention
The Site records limited campaign events such as page visits, assessment starts, selected calls to action and Hive-interest choices. These public events use predefined categories rather than submitted contact information. Inquiry processing also records internal notification status.
The form requires Cloudflare Turnstile verification before an inquiry can be accepted. Turnstile processes browser and device signals to help distinguish legitimate visitors from automated abuse. If verification is unavailable, the form cannot accept a request; you can use our existing contact page instead.
Short-lived abuse controls limit requests across the Site and acknowledgements to the same recipient. Visitors currently share a request allowance because this managed deployment does not expose a verified visitor-IP source. Keyed recipient identifiers are pseudonymous, not guaranteed anonymous. The application does not store raw IP addresses in its tables or place source identifiers beside inquiry details. Counter allowances use one-hour or 24-hour windows. Expired rows can be removed in bounded batches during requests that pass the request-limit checks or authorized manual maintenance. Expiry does not guarantee physical deletion within 24 hours. Platform and service-provider logs may still contain technical information, including IP-related information.
We do not make a blanket promise about cookies or email open and click tracking across the platform and providers. You may contact us about the current configuration.
Optional Hive service
Hive is a separate optional service through Kickstart Technologies. An inquiry is not automatic subscription enrolment and does not authorize unrelated marketing. If you choose Hive, that separate service relationship and its information-handling arrangements must be reviewed with Kickstart.
Retention and deletion
The intended inquiry-retention period is generally 12 months after closure or the last substantive contact, subject to ongoing business needs and applicable retention obligations. An active inquiry, retention hold or necessary project record may require longer retention. Where information was used for a decision directly affecting an individual, the applicable minimum retention from that use must also be respected.
D1 is an inquiry register, not the permanent customer or job system. Necessary records may be transferred to that system. The Site cannot infer later email conversations or whether an inquiry became a project. Closure, contact dates, transfers, holds and eligibility therefore require administrative review. Existing records with uncertain status are excluded from automatic deletion.
A controlled cleanup routine has been prepared, but scheduled inquiry deletion is not active. Eligible records require review and approval before destructive cleanup is enabled. Detailed events linked to an inquiry follow that inquiry’s retention. Non-identifying campaign history is intended to be kept for up to 24 months, or less after aggregation.
Active records, delivered mailbox copies and provider backups have different deletion processes. Removing a D1 inquiry does not remove delivered Exchange messages, customer mailbox copies or necessary project records. Resend’s published standard email-data retention is 30 days for Free, Pro and Scale plans; Enterprise arrangements can differ. We do not promise erasure from every system exactly 12 months after submission or immediately on request.
Access, correction, deletion and concerns
You can contact Resolution about access to your information, correction, deletion or a privacy complaint. We will use proportionate identity verification and review applicable business and legal retention obligations before acting. Please describe your request without sending confidential records or identity documents unless an appropriate verification method has been agreed.
